Job DescriptionMaintain physical documents (Authorized Signature Records / Book / ODOA (Internal & External), POAs, External Authority and any such authority under the scope and responsibility) and ensure necessary record and tracking is availableFollow up and manage the process of securing approvals from various approving authority members.Maintain Authorized Signatures Book by promptly adding / deleting Signatories as approved / required.Ensure all amendments are updated to internal stakeholders and shared with all DIB correspondentsCommunicate with Correspondent banks through SWIFT / Letter / Email to resolve queries in connection with DIB Authorized Signatures bookMaintain a central repository of all the approved documents.Prepare necessary checklists to enhance the process flow of the related activities.Set maximum cautiousness to error free release of the documents related to ODOAs Internal & External), Authorized Signatures, POA, External Authority and any such authority under the scope and responsibility of the unit.Ensure cheque book monitoring and reconciliation as per SOPs.Follow up with vendors (stamps / printing press) for prompt delivery of the necessary items.Coordinate with all Operational Areas, Business and Branches to implement the centralization of the Delegation of Authority Function in the BankPrepare and submit Business requirements document for for any system enhancement or new system introduction.Liaise with external entities to ensure the Bank’s authorized signatories, POA, External Authority and/or delegation of authority is existing with themAll the above accountabilities includes but not limited to any additional/new tasks or responsibilities assigned by the line ManagerCompetencies/SkillsTechnical Competencies:Authorized Delegation ProcedureImprovement and InnovationInternal Control Delivery and Unit SupportInternal Control Systems KnowledgeManagement of Vendors / AlliancesRegulatory and Compliance KnowledgeSharia Principles of Islamic FinanceBehavioral Competencies:Act with OwnershipEmpower to DecideEngage the CustomerMaintain Transparency & Communicate to ShareShare Knowledge & Work as One
