:JOB PURPOSE:To assist the company operations by coordinating and controlling the movements of all offshore personnel to onshore, offshore, or international locations. To Handle all travel arrangements including pre-travel tests or other legal requirements. To investigate and arrange appropriate travel flights as well as making reservations at hotels, or other forms of accommodation. To coordinate the tracking of all UAE operating crews and provide reports to finance for client invoices and staff payroll. To work with travel agencies to review all bookings for accuracy, cost-effectiveness and travel adherence.KEY RESPONSIBILITIES:
  • Co-ordinate the movements of UAE operations personnel, ensuring that all offshore and onshore projects are staffed according to current and future operations in line with contract requirements.
  • Maintain and continually update the forward look ahead rota document for all UAE operational sites.
  • Align with Operations Controllers regarding provision of personnel requirements for projects to ensure uninterrupted operations by monitoring personnel utilization levels and escalate accordingly to reassure the correct level of resource is maintained within field population.
  • Plan crew changes in advance, address any anticipated manpower shortage and liaise with Operations Controller to reorganize and adequately provide manpower on all assigned project sites.
  • Submit weekly & monthly reports on headcount analysis vs contractual requirements highlighting any shortfalls and recommendations for quick resolution.
Requirements
  • Minimum of 5-6 years previous work experience in similar or administration role and 1-2 years
previous work experience in the oil and gas sector
  • Demonstrate proven experience in coordinating & monitoring administration process, organizing own
work effectively and setting priorities in order to meet competing deadlines
  • Previous experience in the offshore projects including knowledge of terminology used
  • Excellent skills in all Microsoft Office packages (i.e., Excel, Word, PowerPoint)
  • Minimum of 1-2 years’ work experience in customer service
  • Excellent written and verbal communication skills in English
  • Ensures that information is shared with relevant stakeholders
